Geni Law provides a fast and efficient way to increase earnings through the Automatic Collection System thus eliminating the tedious, manual review of aged receivables reports and then taking action. The old way is the norm. Throw away your PAST DUE and SECOND NOTICE stamps.

Get with it and automate your collections!

For many law firms the procedure is to collect a retainer that will hopefully cover the cost of the services provided. These firms rarely, if ever, have collection issues. With others firms, clients are billed as work is completed. Or yet another scenario is where the fee agreement is set up so that the client makes monthly, bi-weekly or weekly payments towards the agreed-upon retainer and services beyond the retainer amount. It is in the last two examples where payments are likely to be paid late or not at all.

Here is where the elegance of Geni’s Automatic Collections System comes into play.

At the time the fee agreement is executed, the terms of the agreement are entered once in the client’s case file easily all on one line in the Case Status portion of the file:

(a) Retainer Amount

(b) Payment Amount

(c) Frequency: Weekly, Bi-Weekly, Semi-Monthly, Monthly, Quarterly, Semi-Annually, Annually

(d) Start Date: Date from which the payments are to start based on “Frequency”

(e) How Pay: Cash, Credit Card, Debit Card, Money Order, Bank Draft

The rest is up to Geni. She knows instantly when an account is over 30 days past due and initiates the Automatic Collections System. The System consists of a series of six (6) letters in the Collections process. The first letter begins with a polite reminder and from there the letters increase in steps of polite severity, including an offer to discount the amount if the client starts paying on time. The letters print automatically, and all you have to do is make sure they get to the client:

  • $1 – First late notice
  • $2 – Second late notice
  • $3 – Third late notice
  • $4 – Notice of withdrawal from the case
  • $5 – Reduce to Amount Offer (discount)
  • I$  – Increase minimum monthly payment notice to pay off balance within a reasonable        time

The best part is that Geni shows you in the Case Summary or the complete Case File exactly what the “collections” status is for the case through the use of the system’s Status Codes. In the Status Code field, the Third Status Code (third box shown below) reflects the collection status of the case here in this Case Summary screenshot. (These codes can be entered manually also as needed.)

Collection letters print automatically everyday at 12:30 p.m. Geni Law allows you to print collection letters two ways:

  • on-demand manually
  • automatically
