Ways to get help while you work:

  • Handy Tool Tips
for each field on every screen. When you hover in a particular field, Geni gives you hints about the information that should appear in the field; in addition, if more than one answer is available, Geni displays all of the possible entries for quick reference and selection.
  • Quick-Pick Lists
are generated from integrated data contained in the setup, case management and accounting features of the program to make data selection quicker and learning how to use Geni faster.
  • Help Screens
are available by pressing the Help button on the Taskbar at each level of the program or Ctrl+H on pop-up screens so each user can “learn as you go.”

This section contains instructions how to create, edit and delete appointments; view individual or firmwide calendars, and calendar and court docket. No matter what your firm size may be, use the Geni Law program’s synchronized Calendar and CaseWork Manager to mitigate malpractice related risks.

A number of law firm risk insurance carriers have included a premium discount program for firms using automated calendaring systems such as the one contained in the Geni Law program.

Tailor the Calendar features to your law firm’s calendaring procedures to provide heads up reminders for looming deadlines and adequate time to accomplish the task associated with that deadline.

Access Calendar from anywhere in the Geni Law program. Click on Calendar on the main TASKBAR or press the Calendar Button, or press JUMP KEYS Alt+A,A.

The default Calendar is your personal calendar on your computer when you log in, and your current week’s schedule is the default view. Use the DIV or REP buttons you create in the Setup Calendar process to view another person’s weekly or monthly calendar at-a-glance or press “All” to view the entire firm’s Calendar for the current date.

To view your month-at-a-glance, hover over the “Today” button and click on Month.

Date Field

The Calendar defaults to the current date. Press the “Today” button to make sure you are on the current if you have selected the ALL button. To view a different date that does not appear on the screen, press Ctrl+D to jump to the date field, or place cursor on the date field located in the top left corner of the screen and press Enter or doubleclick. A small pop-up calendar view opens where you can click on dates, or you can click << to move backwards by month or year and >> to move forward by month or year, or you can press the following buttons to move through the calendar quickly:

D one day forward
W one week forward
M one month forward
Y one year forward
Shift+D one day backward
Shift+W one week backward
Shift+M one month backward
Shift+Y one year backward

When a DIV or REP calendar is selected, you can hover over the “Today” button to select the week- or month-at-a-glance view for that DIV or REP.

Create or Modify Appointments

Use the following steps to create or modify appointments in the Geni Law program.

Select an individual calendar by typing the REP code in the empty field located on the left of the second row of buttons, or press an individual REP button. Buttons for calendar groups by case type can be displayed after the individual REP calendar buttons but that must be done in Setup Calendar.

If you know the type of appointment, click on that type of case icon and only the calendars of attorneys who handle that type of case will show. For example, if it is a new bankruptcy matter, only the calendars of your attorneys who handle bankruptcy cases will come up.

NOTE: The appointment entry screen is located below the second row of buttons and above the calendar.

appointment entry

The appointment entry screen is clear (or appears unshaded); place the cursor on any appointment entry field and the appointment entry screen turns “grey” to notify that you are creating a new appointment. This also alerts you to confirm the start and end dates for the appointment. Click an appointment type button or use the following JUMP KEYS to create appointments:

Ctrl+N “New” client appointment (Yellow)
Ctrl+E “Existing” client appointment (Pink)
Ctrl+C “Court” appointment (Blue)
Ctrl+O “Other” non-client appointment (Green)
Ctrl+X Block out time (Gray)

Helful Hint: Place the mouse over any field and a short explanation of that field will be shown.

The first field is used to indicate the individual DIV or REP code for whom the appointment is being made. The code auto-fills with this information if you are already in that person’s calendar. You can also select the DIV or REP by clicking on the button with their initials.

Appointment Date

To change the date, press Enter. The current calendar month pops up. Click on the desired date, press the right or left arrow keys to move through the calendar, or press the following buttons to move quickly to the desired date:

D one day forward
W one week forward
M one month forward
Y one year forward
Shif+D one day backward
Shift+W one week backward
Shift+M one month backward
Shift+Y one year backward
Appointment Start Time and End Time

Click on an open time slot on the calendar screen for the desired appointment time and drag the mouse to the desired end time and press Ctrl+Enter or Ctrl+S to save. The start and end times auto-fill in on the appointment entry screen, or you can type in the start and end times on the appointment entry screen, or choose the desired start and end times from the quick-pick list. NOTE: You can double-book appointments. In other words, you can schedule more than one appointment at a time, if needed.

Appointment Location

Select from the quick-pick list the location where the appointment is to be held; for example, OFFICE, COURT or OTHER. When “COURT” is selected, the three-letter court code assigned to a client’s case fills in automatically in the location field after the client case is selected.

Type of Appointment

The first row of colored buttons show the appointment type: New, Existing, Court, Other and Blocked. Color codes are used to distinguish appointment types at-a-glance.

Every other appointment in the calendar screen has either a black or white area on the left and right edges to make it easier to distinguish appointment types. Double-booked appointments are indicated with a checkered pattern.

Yellow is used to indicate new case.

Pink shows an “Existing” client that has a saved Client Information profile.

Blue denotes a “Court” appointment. The court appointment is synchronized in the client’s CaseWork Manager; plus, court appointments entered in a client’s CaseWork Manager synchronize to Calendar. This information also available in the Court Docket report.

Green is used for “Other” non-client appointments such as in-house meetings, luncheons, training sessions, personal appointments, seminars, conferences, etc.

Grey shows “Blocked” out time to mark vacation time or time that is not otherwise available.

Client Name and Case Type

For “New“, “Other” and “Blocked” appointments, the name field is blank for the name to be entered manually. The Case Type is also entered manually.

For “Existing” appointments, a quick-pick list appears for you to start typing the client’s last name. Click on the correct name to enter it. The Case Type Code, Case Number and Phone Numbers auto-fill when there is only one case for that client; otherwise, select the information from the quick-pick list.

Court Appointments

The three-letter court code assigned to a client’s case auto-fills in the appointment entry for quick reference. The court appointment type is located under the appointment stop time. When “Court” is selected for the appointment type or location, a quick-pick list appears for “Client Name” and a quick-pick list appears for “Appointment Type.” Select the appropriate Client Name. Select the appropriate Appointment Type (e.g., Hearing, Arraignment). In the example below, you can see that Mr. Hershey has a Bankruptcy 341 hearing set for Wednesday, May 3, 2017. What is left to do is set the time.

Enter Court appointment description. A generous amount of space (two lines) is provided for appointment description, details, reminders or notes.

Set appointment time. Click on an open time slot on the calendar screen for the desired appointment time and drag the mouse to the desired end time and press Ctrl+Enter or Ctrl+S to save. The start and end times auto-fill in on the appointment entry screen. In the example below the attorney has set aside half the day for Mr. Hershey’s 341 hearing time to allow for travel to and from the court.

Press Ctrl+Enter to save the appointment.
Appointment Symbols

Located at the end of the second line of the appointment entry is an empty box. These symbols are very important and when used correctly provide at-a-glance status of the day’s appointments. These symbols can be inserted at the time the appointment is created or when follow-up work is performed for the appointment. Enter the letter in the empty box. There are three appointment symbols as follows:

“C” Appointment has been confirmed calendar-star
“X” Appointment kept; checked in calendar-check
“R” Reset the appointment; no show calendar-noshow

When editing a saved appointment from one day to another in the same week, you can click on the appointment, drag and drop it to the new date and time within the same week.
