The Chart of Accounts is the necessary foundation that keeps track of how money flows in and out of your law practice in an orderly manner. Each transaction is recorded to a corresponding account number. This activity can be viewed or printed in the general ledger report at anytime for any time period. The account numbers can be tailored to correspond to your existing Chart of Accounts. The program is downloaded with a general range of numbers as follows: 100-199 Assets; 200-299 Liabilities; 300-399 ; 400-499 Income; 500-599 Cost of Sales; 600-699 Expenses; 700-799 Other Income; and 800-899 Other Expense.

On the main Taskbar, click on SETUP > ACCOUNTING SETUP > ACCOUNT NUMBERS to open and access the Chart of Accounts. Once entered, these numbers remain the same until changed manually.

This has been setup in advance; you can change it later if desired.

The Chart of Accounts numbers and information are entered by tabbing through the following fields:

ACT NUM: Enter/add the account numbers. These numbers will be available as a quick-pick list of all of the firm’s established account numbers.
TYP: Two-letter abbreviation for the account type; i.e., IE-income, EX-expense, OI-other expense, etc.

Press Ctrl+S or Ctrl+Enter to save the information before leaving the Setup Account Numbers screen.

After entering and saving the information for the first Account, that Account profile will appear in a clear row directly above an empty, highlighted row. As you continue to work in the Setup Accounts screen, the gray highlight bar will default to an empty profile at the bottom, and all of the created Accounts profiles will appear in ascending order above the empty profile. Each time you enter the Setup Accounts screen, an empty, highlighted profile will always appear at the bottom of the screen. The gray highlight bar will move up or down to other Accounts profiles as you use the arrow or Page Up/Page Down keys.

To delete a data row or profile, highlight the item to be deleted, press Ctrl+Delete and answer “Yes” to the pop up question.

Click the SEARCH button to search the Accounts profiles. This database is searchable by All or a specific Account code.

Click the PRINT button for a complete list of the Chart of Accounts.
